Student Employment Hiring Procedures


POSTING A POSITION

  • Complete the R6 Form (Request to Advertise a Student Employment Position) and fax, scan, or email to Human Resources along with the current job description (templates available if needed).
  • The position will be posted for a minimum of 5 days.

Application Process

  • Applications are available to download in each posting and should be completed and sent to the hiring department as specified in the job posting.
  • The hiring department is responsible for accepting all applications and maintaining an Applicant Selection Log to utilize for interviewing. Documentation of applications received is required.

Interview and Selection Process

The hiring department must provide equal opportunity and use consistent screening practices to review applications and begin scheduling interviews. Each phase of the hiring process must meet the University's equal opportunity/affirmative action obligations.

Once the interviews have been conducted and a decision has been made, the Department will need to:

  • Notify the student and offer the job contingent upon a successful background check.
  • Complete the Applicant Selection Log to document reasons for non-selection. Send the selection log and the selected applicant’s application to Mallory Whitman at mwhitman@cameron.edu.
  • Please have the student complete the entirety of the student employee hiring packet BEFORE they go to Human Resources to drop it off OR have them stop by HR to grab a hiring packet and bring it back once it is completed. Please let Mallory Whitman know if you need an electronic copy of the hiring packet.
    • All areas that need to be completed on the packet are highlighted. If the student has any questions, please ask them to leave it blank and HR can help them fill it in properly when they drop it off.
    • If Student is a U.S. Citizen - They will need to bring the following items with them to HR:
      • Their Social Security card
      • Their driver’s license or official identification card
      • Their Cameron ID
      • Their banking info for direct deposit
      • An official banking document for direct deposit (such as a Direct Deposit form or voided check – MUST include account & routing #.)
    • If Student is International – They will need to bring the following items with them to HR:
      • Their foreign passport
      • Their I-94
      • Their I-20
      • Their Cameron ID
      • Their Social Security card
    • WHAT TO DO IF A STUDENT DOES NOT HAVE A SOCIAL SECURITY CARD:
      • Department will need to write a formal letter from their department to the International Office detailing the job the student has been hired for (template available from Employment Coordinator).
      • A letter from the International Office to the Social Security office regarding reasons for Social Security Card Request.
      • Student will go to Social Security Administration and apply for Social Security card.
      • Student will give copy of receipt received from SSA to HR and International Affairs. Once Social Security card is received, they will give copy to HR and International Affairs.
      • Their banking info for direct deposit
      • An official banking document for direct deposit (such as a Direct Deposit form or voided check – MUST include account & routing #.)
  • Send non-selection letters to the applicants that were not selected (email is acceptable).

Hiring Process

Once the background check and hiring packet is completed, HR will send the Work Authorization Form to the department. The hiring department will need to obtain all signatures, fill in the start date and return the Work Authorization to HR. Once HR receives the completed Work Authorization Form back, they will enter the student into Banner.

Students are not allowed to begin work until all hiring documents are completed.

Rehiring Student Employees

Complete the rehire form for student employees that will continue their status of employment for the upcoming semester. Students are allowed to continue their status of employment if they worked in the immediate preceding Fall or Spring semester and they continue to meet the enrollment requirement. Otherwise, the position must be posted and hiring procedures must be followed.
