Commencement Assistant Instructions

If you haven't already done so, please read the General Information webpage first which states general procedures for everyone involved in the commencement ceremony.

Assistant Orientation Meeting
Thursday, May 8, 2008
3:00 p.m.
Cameron Stadium, Bottom Rows of Center North Stands

This year we have a different setup of the stadium field. Therefore, we will first meet at Cameron Stadium then move to the Board Room in the Administration Building where we will view a PowerPoint presentation to further discuss individual duties at commencement and answer questions. If there is rain on Thursday afternoon, we will start the meeting in the Board Room. Jennifer Elbert will distribute shirts and the commencement quick reference name cards at this meeting. The uniform for the event is the shirt handed out, black bottoms (skirt, pants, capris; no shorts please), and comfortable shoes.

Commencement Day, Friday, May 9, 2008

5:30 p.m., Commencement Assistants report to their assignment areas.

Although this meeting time is rather early, please be aware that a security check will take place at all gates and guests and graduates were asked to arrive between 5:30 p.m. and 5:45 p.m. to get through the security check and find their seats early.

7:30 p.m., Commencement Begins with the signal of the President

Inclement Weather

In the event of inclement weather, four separate ceremonies beginning at 8:00 a.m., 10:00 a.m., 12:00 Noon, and 2:00 P.M. will be conducted at the Aggie Gym. Assistants should attend either both morning ceremonies or both afternoon ceremonies.  

"(AM)" after your name in the Commencement Assistant Assignment Grid means that you will work the 8:00 AM and 10:00 AM indoor ceremonies at the Aggie Gym. You should arrive by 7:00 AM. Please stay afterwards for lunch.

"(PM)" after your name in the Commencement Assistant Assignment Grid means that you will work the 12:00 Noon and 2:00 PM indoor ceremonies at the Aggie Gym. You should arrive by 11:00 AM for lunch.

No "(AM)" or "(PM)" designation means that you are desparately needed all day.

The Processional
The Processional, led by the Chair of Faculty Council, will begin at 7:30 p.m. He will conduct members of the platform party who assemble at the 50-yard line, to the platform in the center of the seating area. Faculty and candidates from the East and West Endzones will walk along the south side of the field, meet at the 50-yard line, and follow the platform party into the appropriate seating areas. Commencement Assistants should direct faculty and candidate movements during the processional.

Presentation of Diplomas
The Chair of each department will lead the department faculty and candidates across the platform. As faculty leave the platform, they will form a receiving line to the rear of the platform, where they will briefly congratulate graduates. Graduates and faculty will then return to their seats. Assistants assigned at the seating areas on the field (Group A) should supervise the flow across the platform and through the receiving line.

The Recessional

At the conclusion of the ceremony, the President will dismiss participants. As the band plays the recessional music, the platform party will depart the platform and proceed back to their assembly area. The faculty and graduates will then follow the platform party back to assembly areas. Assistants should allow time for family photos and then direct everyone to the exits.
